Why should I use the Microsoft Graph connector?

The Microsoft Graph connector enables your organization to bring data from external sources into Microsoft Graph. Discoverable across Microsoft 365 environments, including Grounding See responses to more work content and context in Microsoft 365 Copilot.

As a single platform for all your enterprise data, Microsoft Graph enables your end users to enjoy a uniform experience across external content, Word documents, PowerPoint presentations, and other Microsoft 365 content. Is my data safe when I use the Microsoft Graph connector?

One of the most important aspects of bringing content into Microsoft 365 is maintaining security and data access control. When implementing the Microsoft Graph connector, map your existing access control lists to objects in Microsoft 365 and Entra IDs to ensure that only individuals with the appropriate permissions can access the content. This allows your organization to maintain secure, central access to your data. For more information, review:documentation.

Why are you making this change?

Previously, indexing third-party data into Microsoft Graph via the Microsoft Graph connector required purchasing built-in permissions or add-on quotas through specific licenses. We know that indexing more external data into Microsoft Graph is essential for many organizations to fully realize the power and value of Microsoft 365 Copilot. Removing quota limits reflects our commitment to delivering the best Microsoft 365 experience and responding directly to customer feedback that they need to increase their data capacity with Microsoft 365 Copilot. What does this mean to you?

This change enables organizations to bring massive amounts of external data into Microsoft Graph. Each record from a data source that you add to Microsoft Graph is considered an “item,” and external content can be searched across a set of Microsoft 365 experiences, including unique citations in responses from Microsoft 365 Copilot.

Depending on the data source, one item might be:

  • One document (Word, Excel, PPT, PDF, etc.) in file sharing
  • One wiki page
  • one web page
  • 1 ticket/issue

The total quota is based on the total number of items stored in the tenant index, and updating an item does not change the item count (i.e. updating an item multiple times has no effect, it still counts as 1 item within the tenant).

If you are a new customer or are already using the Microsoft Graph connector and have one of the subscriptions mentioned above, your tenant will be automatically updated to the 50 million item index by the end of September 2024.. Subscribers with ‘Additional Graph Connector Capacity’ will be contacted about activated plans.
