The organization

The Armed Conflict Location & Event Data Organization (ACLED) is a disaggregated data collection, analysis, and crisis mapping institution. The ACLED team collects conflict intelligence, conducts analyses to describe, investigate, and test conflict scenarios, and makes both data and analysis available to the public for free use. ACLED’s work is regularly used to inform journalism, academic research, and public discourse on conflict, and to support practitioners and policymakers. ACLED is the highest quality and most widely used real-time data and analysis source on political violence and protests around the world.

The role

ACLED is hiring a full-time Executive Assistant to provide senior administrative support to the leadership team. This position will report to the Director of the Executive Office.

Role and responsibilities

The successful candidate will perform the following activities as part of the management team:

  • Providing high level administrative support and assistance to the leadership team and/or other assigned management staff
  • Perform clerical and administrative tasks, including writing and editing emails, drafting memos, and preparing communications for the leadership team
  • Create and edit presentations, agendas, reports, special projects, and other documents to support organizational goals.
  • Support the Head of the Executive Office in managing the Executive Team’s calendars
  • Plan and attend meetings on behalf of the leadership team, take notes and record minutes
  • Collaboration with the travel agency commissioned by ACLED to organize travel and accommodation for the management team
  • Processing travel-related documents such as reports, receipts and reimbursement requests
  • Support the Head of the Executive Office in planning and organizing events, including conferences, workshops and meetings
  • Supporting the Head of the Office in managing the Board of Directors and the Advisory Board
  • Perform additional tasks as assigned by the leadership team

Skills and competencies

ACLED is looking for applicants with the following skills and experience:

  • At least 3 years of relevant experience (required);
  • Bachelor’s degree in a relevant subject;
  • Excellent interpersonal and communication skills, both oral and written;
  • Ability to work remotely with limited supervision;
  • Excellent organizational and time management skills;
  • Good judgment and great attention to detail;
  • Ability to manage multiple tasks and set priorities effectively in a fast-paced environment;
  • Extensive knowledge of office administration, clerical procedures and data management systems;
  • Very good knowledge of Google Workspace, Microsoft Office Suite or similar software and the ability to learn new or updated software;
  • Fluent English skills (essential);
  • Willingness to travel as required (up to 15%).
