Finn Church Aid Ukraine is looking for a Grants Manager. The Grants Manager will be responsible for preparing and writing funding proposals, ensuring compliance with donor reporting and program requirements, and identifying funding and partnership opportunities that support FCA Ukraine in implementing its strategic priorities. The Grants Manager will be based in FCA’s Kyiv office.

The FCA’s humanitarian assistance program in Ukraine focuses on the education and livelihoods sectors in central and eastern Ukraine and requires frequent travel and deployments to areas severely affected by war.

Scope of work and services

Duties and responsibilities include:

Writing proposals (40%)

  • The Grants Manager (GM) will take the lead in writing FCA Ukraine funding applications and will work closely with the Programme, Finance and Administration teams and the FCA Helsinki Grant Advisor to ensure that applications are prepared in a timely manner, to a high quality and meet all funder requirements. The Grants Manager will liaise with local partners as required during application development.

Donor reporting, quality assurance and compliance (40%)

  • For ongoing projects, the GM will lead quality assurance and compliance at FCA Ukraine to ensure that FCA’s key global policies on protection, gender equality and inclusion are fully implemented and that funder compliance and reporting obligations are met.
  • Working closely with the Project Managers in preparing and submitting all required reports, the GM will also:
    • Organizing and conducting project kick-off meetings
    • Attend all relevant project meetings to monitor compliance and understand the project in order to effectively prepare reports and related funding requests.
    • Organize and conduct quarterly plan-actual meetings for each project to review progress toward project objectives and identify needs for revision of objectives and activities.

Identification of financing opportunities and potential donors (20%)

  • Assess and/or identify relevant fundraising and resource mobilization opportunities based on FCA Ukraine’s priorities and capacities.

Required expertise and qualifications

The candidate must have the following minimum qualifications and skills:

  • At least four years of experience in international grant management, proposal/business development and program design in the development/humanitarian sector. Experience in Ukraine is an advantage.
  • Experience in developing proposals with strict requirements and tight deadlines.
  • Ability to work independently and meet deadlines with minimal supervision.
  • Team player mentality and ability to collaborate and communicate.
  • Previous knowledge and experience of donor regulations and guidelines (USAID, BHA, ECHO, FCDO, SIDA, Europe Aid, OCHA, private donors, etc.)
  • Strong networking and relationship building skills.
  • Excellent oral and written communication skills in English. Knowledge of Ukrainian language is an advantage.
  • Knowledge of emergency education.

The position will be filled as soon as possible and is a Fixed-term employment contract until 31 December 2025with a six-month probationary period. The salary will be based on the FCA salary scale and the candidate’s experience. Preference will be given to candidates who already work in Ukraine.
