The Coordinator will be an integral part of the Finance and GMC teams ensuring responsible and effective resource management at PIH through sound practices and appropriate policies and procedures. Key responsibilities include coordinating the Finance and GMC teams’ administrative systems across recruitment, training, compliance and award management, as well as assisting with annual registration and submission processes. The Coordinator will proactively identify and implement improvements to administrative systems and processes that support the efficiency and effectiveness of the department. The position provides an excellent opportunity to gain experience in financial and grants management and compliance in the global health sector. The ideal candidate is a responsible, results-oriented professional with exemplary interpersonal, communication and organizational skills. Tasks: Support the overall coordination of the Finance and GMC teams’ management systems. This includes identifying and implementing opportunities to improve management systems and engaging team members in the development of new or improved systems, processes and tools. Manage the Finance and GMC MS Teams groups (an online collaboration tool) and SharePoint pages. This includes organizing and managing files and enabling updates and improvements as needed. Coordinate internal and external meetings, trainings and workshops, both virtual and in-person. Communicate effectively with participants, facilitate agenda development and manage schedules, budgets and related documentation. Also oversee the booking of language interpreters, meeting platforms and note-taking. Create and edit communications and PowerPoint presentations. Create and format departmental communications, work plans, trackers, and progress reports. Create and distribute financial, grant management, and compliance documentation. Assist in the creation and dissemination of departmental and organizational policies, procedures, and guides. Assist with registration processes as needed. Facilitate communication and collaboration between the Finance and GMC teams and between these teams and other teams at the U.S. Coordination Site and the PIH Health and Education sites. Participate in cross-departmental and cross-functional project teams. Perform other related tasks as assigned to support the overall function of the Finance and GMC teams. Qualifications: Bachelor’s degree in public health, public administration, international development or a related field. At least 2 years of relevant experience, including administrative experience. Excellent communication skills; ability to draft and edit correspondence, reports and general documentation; ability to file and retain records. Exemplary interpersonal skills; ability to work effectively with employees from diverse cultures across departments and countries. Strong organizational and planning skills, project planning and project management skills. Proven ability to set priorities and meet deadlines with minimal supervision; ability to coordinate activities. Competent use of Microsoft Office Suite and practical knowledge of MS SharePoint. Experience and confidence in organizing and supporting meetings using virtual platforms. Experience working in nonprofit organizations preferred. Interest in social justice is expressly desired. Subject to the terms of the applicable plans, eligible employees may enroll in an employer-sponsored 401(k) plan and participate in organization-sponsored medical, dental and vision insurance, as well as short-term and long-term disability insurance and basic life insurance for the employee and his or her eligible dependents. Full-time employees receive 15 vacation days, 12 sick days, 3 personal days and 3 volunteer days, as well as paid vacation the week between Christmas and New Years, the week of July 4th and 11 other holidays each year.
