Altamont Group is looking for a qualified and motivated Project Assistant (PA) to assist our project management team in organizing and executing various projects. The successful candidate will assist in planning, executing and finalizing projects while meeting strict deadlines. The Project Assistant will be responsible for maintaining project documentation, coordinating meetings and monitoring project progress.

The PA works with the Project Manager to ensure that project plans, deadlines and deliverables are implemented as required. The PA also assists in developing strategies to mitigate risks/issues in project, client and business development. The PA provides quality assurance by reviewing all deliverables to ensure accuracy, completeness and high quality.

The PA MUST have a deep understanding of advisory and consulting frameworks (strategy, policies, MERL, quality assurance, eLearning/training/capacity development) to enable the PA to support project implementation teams.

The PA must understand the requirements of each project implemented by the Altamont Group and comprehend all project-related documents.

This role is ideal for someone who is detail-oriented, enjoys coordinating, has excellent writing and editing skills, and is able to quickly grasp important project information.

Tasks

  • Support in the development of project plans, schedules and budgets
  • Maintain project documentation, including project plans, status reports, meeting minutes, and other project-related information.
  • Manage/organize SharePoint folders and files
  • Coordinate project team meetings and track action points
  • Help us track project progress against project plans and budgets.
  • Communicate project status, issues and risks to project stakeholders.
  • Work with project team members to ensure timely completion of project tasks
  • Assist us in conducting research and preparing reports as required
  • Ensure that project data and documentation are stored appropriately
  • If required, support with other project-related tasks
  • Facilitate communication between the lead consultant and the leadership team throughout the project lifecycle.
  • Support the project manager in managing project management documents such as Project work planBudget, schedule or scope
  • Support the project manager and project team to ensure that project deadlines are met
  • Perform a variety of administrative project management tasks
  • Review each project result to ensure AG quality standards
  • Schedule and coordinate meetings with stakeholders/clients and maintain the contact list and database for interview requests.
  • Document and track important actions and decisions from meetings
  • Prepare the necessary presentation materials for meetings
  • Develop PPTs and briefing notes for pitch/business development meetings
  • Support the CEO in research
  • Communication with stakeholders/customers

Required skills and experience

  • Bachelor’s degree in business administration, project management or a related field
  • Proven experience as a project assistant or in a similar role
  • Familiarity with project management tools and methods
  • Coordination skills
  • Strong organizational and time management skills
  • Excellent written and oral communication skills
  • Ability to work effectively both independently and in a team
  • Knowledge of MS Office, SharePoint and project management software
  • Great attention to detail
  • Ability to prioritize tasks and work under pressure
  • Ability to manage deadlines efficiently
  • Excellent writing and editing skills in English
  • Strong analytical and critical thinking skills
